This position provides office support to administrative staff. The Office Assistant performs clerical duties as assigned by the Site Director. The incumbent must possess the ability to maintain strict confidentiality. The duties of this position may vary from day-to-day depending on the needs of the organization. This job description in no way states or implies that these are the only duties to be performed by the employee occupying this position

Essential Duties and Responsibilities

Include but not limited to the following. Other duties may be assigned.

  • Support daily functions of the administrative team (Executive Director, Site Director, Administrative Assistant, Bookkeeper, Human Resources Manager, Program Coordinator, and Specialists) including but not limited to: filing and general office duties.
  • Maintaining all record keeping related to program implementation and funding requirements.
    • Attendance Records
    • Enrollment Records
    • Food Program Records
    • Maintain all files in accordance with requirements (Children's files, forms and main filing system).
    • Prepare reports as required by governmental and agency policy
  • Assist with internal and external audits
  • Assist with preparation for meetings as requested by Directors
  • Perform other duties as assigned.

Education and Experience

  • High School Diploma or Equivalent
  • 1-2 years of experience in a similar role

         The ability to meet deadlines

         The ability to problem solve and/or make decisions while prioritizing workload

         Computer knowledge with working knowledge of Microsoft Office

         Working knowledge of office equipment

         Best practices in administrative support (wpm 50, filing etc.)

         Knowledge of YWCA Child Care Resource and Referral Childcare Subsidy Program (can be acquired after hire)

         Flexible attitude with expectation to change focus to assigned task
